Privacy Policy

Effective September 30, 2026

PETROKHOLOD TOV ("Petrokholod", "we") provides warehousing, rents and manages property, provides financial leasing, trades wholesale and offers consulting. This policy explains how we handle personal data under the Law of Ukraine "On Personal Data Protection" and the GDPR.

1. Controller

2. Storage customers

Business contacts, contracts, stock records and the names of people authorised to release goods. Goods are released only to authorised persons, whose identity may be checked at the dock.

3. Drivers and warehouse access

Drivers are registered with name, vehicle and trailer number and time of arrival. The warehouse is covered by CCTV for safety and security of stored goods; recordings are kept for 30 days.

4. Leasing clients

Before a leasing agreement we identify the client and assess its ability to pay, which may include financial statements, information on directors and beneficial owners and, with consent, a credit history check. This is required by financial services and anti-money-laundering legislation.

5. Tenants and managed properties

Lease contracts, payment records, contact persons and access arrangements.

6. Temperature logs

Temperature and alarm logs relate to equipment, not people, and are shared with customers to prove cold chain compliance.

7. Purposes and grounds

Performance of contracts, legal obligations (financial monitoring, tax, food safety), consent (credit checks) and legitimate interests (security of goods).

8. Recipients

Credit bureaus with consent, financial monitoring authorities where required, insurers, carriers, tax authorities. We do not sell personal data.

9. Retention

  • Leasing and identification records: at least 5 years after the agreement ends.
  • Storage records: 3 years.
  • Driver logs: 6 months; CCTV 30 days.

10. Your rights

You may access, correct and delete your data (subject to legal retention), restrict or object to processing, obtain a portable copy and withdraw consent. We reply within 30 days. Complaints may be addressed to the Ukrainian Parliament Commissioner for Human Rights or, for leasing matters, the National Bank of Ukraine.
